Fee Payment Policy

1. Fees

All tuition fees are determined and approved by the College and are subject to change at any time. Such changes may be published with appropriate notice to the Parents and may be made available on the relevant student documents.

2. Accounts

Fee statements may be issued before the commencement of each term. Other charges will be listed separately on the fee statement for the preceding term in which they are incurred.

3. Payment of Fees

All tuition fees are due and payable by the due date. The Parents are required to pay the tuition fees for the full term by the due date as prescribed by the College. Payment arrangements, including instalment payments, are not acceptable.

4. Late Enrolment

Students are required to enrol and pay for the full-term course each term. If they wish to enrol after the course start date, they must enrol for the remaining term (all remaining weeks), provided that at least half of the total term’s lessons remain. Enrolling for certain weeks only is not accepted, even if they have planned absences. Consistent attendance is required throughout the remaining lessons to meet minimum enrolment standards. These conditions apply to both standard school terms and school holiday terms.

5. Late Payment of Fees

Any payments not made by the due date will incur a late payment charge, an administrative and service fee or interest. If fees remain unpaid by the due date, the College will take appropriate actions against students. The students will not be allowed to attend and/or enrol in any courses or tests provided by any branches of the College until all outstanding debts are settled. Any materials, results and reports will not be released to students until full payment, including any late payment charges, administrative and service fees, interest, and expenses incurred by the College, has been received. If any fees, charges, interest and/or expenses remain unpaid by the due date, such debt may be passed to the debt collection agencies without notice, and an administration charge of 35% of the debt amount may accrue on the account.

6. Discount Offer

Full-term payments must be made by the due date determined by the College to be eligible for any discount offers. The discount offer does not apply to the material (textbook) fee and cannot be combined with any other discount or scholarship offer. Students must have their photo IDs uploaded to the College’s Student Management (NCMG) system. The College reserves the right to modify or cancel the discount offer at any time without prior notice.

6.1 Early Bird Payment Discount

The Early Bird Payment Discount may apply on full-term fees paid by the due date, which is determined by the College. The due date is usually fourteen (14) days before the first Saturday of the new term. Discounts do not apply to the trial test courses, including, but not limited to STTC, OCTTC, OCFC and NTTC.

6.2 Family (Sibling) Discounts

The family (sibling) discount is available exclusively to immediate family members living at the same address, with discount rates varying based on the number of eligible students. This discount cannot be combined with any other discounts and applies only to full-term fees for regular-term EM, EMG, WEMG, WEMT, and 6+ courses at the same Pre-Uni New College branch. To qualify, payment must be made by the Early Bird Payment due date set by the College. All students must enrol together for the same term and at the same branch. Additionally, high school students (Years 7-12) must enrol in two or more courses at the same branch to be eligible.

6.3 Scholarship Discount Offer

The Scholarship Discount Offer entitles students to a certain amount of discount to the full tuition fee for the duration of a specific period. Scholarship discounts are only available if payment is made by the Early Bird Payment due date, as set by the College. These discounts apply only to the full-term fees of specific standard courses for regular terms unless otherwise stated in the scholarship offer conditions. Eligible students are normally selected through Pre-Uni New College annual scholarship tests, NSW Opportunity Class and selective high school placement test outcomes. After meeting the eligibility criteria, students receive a notification outlining the scholarship’s discount rate, duration, payment due dates and any conditions that must be fulfilled to qualify for the scholarship discount. While the scholarship offer period is in effect, students are expected to demonstrate a reasonable level of effort and commitment. Failure to do so or any significant drop in performance, as well as any behavioural issues, may result in the scholarship being revoked.

7. Cyberschool service

Cyberschool is an optional, add-on service offered exclusively during the course enrolment period. It is not included in the course fee, and each service has a specified duration which may be amended by the College from time to time. Students have the freedom to choose whether or not to use Cyberschool based on their preferences.

8. Mid-Term Course Change Rules

To ensure focus and continuity of learning, courses cannot be changed after the term begins. This means that students cannot switch between courses (except as noted below) once the term has started. Exception: Students enrolled in the OC Trial Test Course (OCTTC) or elective Trial Test Course (STTC) who are facing difficulty due to academic challenges and haven’t met the course’s achievement standards may be allowed to switch to the WEMT course before the start of Week 3 of the term, with the College’s approval. If the student is switching to a WEMT course, they must pay the difference in tuition between the OCTTC/STTC and the WEMT course.

Credit & Refund Policy

The purpose of this Credit & Refund Policy is to outline the requirements for the approval and processing of credits and refunds across the College’s all courses and tests. The College will consider all credit and refund requests on a case-by-case basis in accordance with terms set out in this Credit & Refund Policy which may be amended by the College from time to time at its absolute discretion either orally or in writing without any prior notice.

Credit Requests

The College may, in its absolute discretion, consider and approve credit requests made by students on compassionate grounds where the student has a severe medical condition that prevents his/her attendance to the course and/or the tests. Otherwise, no credits are given under any circumstances.

The College will not consider any application for a credit for non-attendance, cancellation/discontinuation/withdrawal from the course after the course commencement date, absence due to the student’s participation in extra-curricular activities, school functions, scholarship and/or entrance
examinations for schools, and any other personal engagements such as travel and family commitments or attending a funeral.

Any credit request due to medical reasons must be accompanied by a valid medical certificate. Only one (1) lesson credit per term will be granted, and it will remain under the enrolled student’s name until the next payment is made. This credit may only be transferred to the student’s immediate family members and can only be used at the same branch where the student is currently enrolled.

The College reserves the right to cancel or reschedule any courses or tests if necessary. In that event, every effort will be made to find a suitable alternative course or test. All students enrolled in such courses or tests will be notified as soon as possible and the College will, within fourteen (14) days, provide credit or refund of the fees for the weeks that course or test will not be provided, unless the student: a) withdraws from the course or the test before it is cancelled or rescheduled; or b) accepts an offer in an alternative course or test arranged by the College; or any unused credit held in the student account for more than twelve (12) months will be forfeited.

Refund Requests
In the unlikely event that the College is unable to deliver a course or test, the College will refund the unused portion of the tuition fees the student has paid to date. The refund will be paid within fourteen (14) days for the day on which the course ceased being provided. Students who initially enrolled during a discount period and are subsequently transferred to another branch due to course unavailability at their original branch will retain their original discount upon refund and re-enrolment.

If the student requests for a refund on a credit balance in the student account, the student will be offered a refund of unspent credit less an administration fee (25% of the tuition fees) within fourteen (14) days of receipt of such request. The administration fees are capped at $ 200 AUD per transaction.

In the event of a student withdrawing from the course at least seven (7) days prior to the course commencement date, the College will refund the tuition fees within twenty-eight (28) days of the receipt of written notice of withdrawal and fully completed Credit/Refund Application Form from the student (or parents or guardians if the student is under 18 years of age).

If the student fails to deliver to the College a written notice of withdrawal and fully completed Credit/Refund Application Form at least seven (7) days before the course commencement date, there will be no refund of any tuition fees paid. The College may deduct any outstanding fees, charges and debts from the refund payable to the student.

All refunds will be made in Australian dollars via Electronic Funds Transfer (EFT) directly to the bank account nominated by the student’s parents, or guardians or as directed by them. However, if the student is 18 years of age or over and has paid the tuition fees directly to the College, the refund will be made payable to the student, unless the parents or guardians give written directions to the College.

Credit or Refund Process
To request credit or refund, the student must submit a completed Credit/Refund Application Form which can be obtained from the payment office at Pre-Uni New College – 5 The Crescent, Strathfield New South Wales
2135. Please note that at the time of all credit/refund requests, supporting evidence must be provided to the payment office at the College.

Grant of Credit or Refund
The College will use its best endeavours to process all credit and refund applications within five (5) and ten (10) business days, respectively, of receiving the fully completed Credit/Refund Application Form together with any supporting documents. In any grant of credit or refund, any discount that was given for full-term payment shall be forfeited. The policy does not affect the student’s right to take action under the Australia’s consumer protection laws.

One-Day Special Test Event
The College acknowledges that there may be certain one-day special test events organised by the College. In the case of these events, no credits or refunds will be provided to students who are unable to attend or participate, regardless of the circumstances. This policy specifically applies to certain one-day special test events, including but not limited to ASAT for Selective/OC, Final Selective/OC Mock Tests, and Annual Scholarship Tests. For these particular events, the provisions outlined in this Credit & Refund Policy are overridden, and no credits or refunds will be provided to students unable to attend or participate. It is important for students to carefully consider their availability and commitment before registering for these one-day special test events.
